I already have some of these Network peripherals. Can I use these?
Not generally. We are going to be responsible for maintaining your system and would prefer that everything is new and products that we have a depth of knowledge on. WE are happy for you to substitute and use accessories that we would deem as non-critical such as displays, keyboards etc
Within the network solution, Hardsoft include a free cloud back up service, how comes you also provide external USB Hard drives? Do you need both? USB hard drives seem a bit old fashioned?
Firstly, you can never have enough back up; skimping is a long-term false economy with every company at some point having the misfortune of major data loss. If anything, we recommend more back up methods. The cloud is dependent on your broadband in order to restore your data, meaning it could take a day or two to restore all of your data from the cloud. Hard Drives are faster, and often if we need to restore all data to a server, we rely on restoring from both the cloud and hard drives.
I do not need the hassle of cabling, why do we use cables for the network connectivity instead of being wireless?
Cables are more reliable, more secure and far faster.
Can you install my software onto the new server?
Yes. We provide a start to finish service, meaning we will migrate data from old systems to new PC’s and the new server. Hardware such as Printers and scanners will also be integrated. Although we will not be responsible for maintenance of your own third party peripherals.
Why a physical Server in the office and not a Cloud based solution?
Technology just is not there yet for small PC Networks. Our Network Server solution to lease is a ‘Hybrid’ with Emails hosted on the Cloud via Microsoft Office 365 with your Back Up going to the Cloud every night. A wholly Cloud system is subject to the vagueries of your Broadband speed and reliability.These are not wholly dependent on reliable and fast broadband.
You only offer office 365 Business Essentials, what is the reason for this?
It seems that most companies already have access to Microsoft office software and would not need the 365 premium versions. Office 365 Premium is available to lease and includes access to office licensing across five devices per user. It is at extra cost. You could have a mist of 365 Office essentials.
You can only purchase a one-year subscription of Office 365, but you include this within a three-year lease?
Yes, office 365 is only available for one-year subscription however; we would automatically renew this annually for you. At the end of the three-year lease, in order to continue with your 365 subscription, this would be at the cost of the then market price. Failure to renew at this point would mean Microsoft ceasing your emails.
What are your opening times and Service hours?
We are open working days Monday to Friday 9am to 5.30pm. Engineers do work beyond these hours, working on issues raised during the day. We use a ‘ticket system’ for all incidents, where you will be able to track the progress of an issue. You can log a call via our website, web chat, email or a telephone call. We aim for one of our experienced technicians to contact you within an hour.
If my Server is down, how soon will I get an engineer out?
It is very rare that a server dies and we are unable to repair it remotely. If this does happen, we will be able to send an engineer out the next working day.
At the end of the three-year lease, what happens with the technical support?
It will end at the end of the lease; however, you can continue to receive support at 50% of the normal monthly cost. This will also include continuation of the AVG Anti-Virus and cloud back up.
How soon can I expect my delivery?
For the Bronze option whereby we configure all the equipment and then ship it to you to install, you can expect this normally in 4-5days. For silver or above, this includes installation; we need 7 days’ notice to book in a mutual date.
Will a new network installation be very disruptive?
We try to be as quick and discreet as possible, though there will be downtime as data is migrated and new systems are installed.
How long will a network installation take?
We usually allow 2 days for an average 5-user network and 4 days for a 15-user network: though on the 15-user network we would send two experienced engineers to halve this.
What is the purpose of having multiple hard drives in the server?
With basic Servers, we supply two hard drives that mirror each other. On Networks that are more powerful, you may have several drives. Several drives protects against multiple drive failures but also improves the read/write access speeds, which is important on networks with large amounts of users. These are configured into a RAID array (Redundant Array Inexpensive Disks). RAID mirrors data from one drive to another to prevent the loss of a Drive meaning data loss and downtime for repair.
Could we have a Rack server rather than a Tower Server?
Yes. Servers are available in a Rack style for the same price, naturally, you will need a rack and please note that rack servers are generally a lot nosier than a tower server is.
I thought that AVG was a free product, why do you include it within the monthly cost?
AVG do offer a free version, this is mainly designed for home users. We supply the AVG cloud version, which comes at a cost.
Which is the best Anti ransomware software? Sophos intercept X is included on some of your Network Systems, is this the best option?
Yes, we believe it is the best software; it is easy to maintain and manage. Our second choice would be MalWare Bytes for business, although you would need an It expert your end, as it is more difficult to manage.
Will I incur any additional charges?
No. However if you should ask us to look after third party software or peripherals not supplied by us then there would be a per incident charge. Also should you relocate office or need our consultancy services on GDPR or Cyber Essentials then these would be at an extra cost.
Is it possible to have an installation over the weekend?
Yes. There would be a small extra fee for this.
How experienced are your Network installation engineers?
All of our engineers have at least five years’ experience.
Do you only use HP? In addition, are all the computers brand new?
We offer HP as they are a good choice of desktop PC’s and servers, we also offer Fujitsu and Lenovo as an alternative on the desktop PC’s. YES, all equipment is brand new!
Do you remove and dispose of all the old equipment?
Yes we do. If you require a destruction certification, just ask and this can be provided. Any old servers are kept for 30days or more before any disposal.
Are start-up or new companies able to lease a Server and network system?
Yes, however if the company has not filed accounts with companies house then we would require extra information on the company directors to underwrite. This is to ascertain that the business owners have a clean credit history, and we would need at least two months bank statements to prove affordability. For brand new businesses unable to provide bank statements then director personal statements would be sufficient, and again we would be looking to see if the bank account is used within its limits with no unpaid or returned items.
Are your prices competitive?
Yes very, although they are not always the cheapest, the service and overall package you receive remains consistently the best value for money
Why do you use Draytek Router firewall?
Hardsoft have used Draytek routers for many years and find it to be the most reliable product, which is essential given its key importance.
In the event of a power failure, how long will the UPS last?
Only a matter of minutes. UPS provides power to shut down the server safely. Only a generator would keep your IT running during a power outage not a UPS.
Do I need to insure the equipment?
Yes, you can cover it under your normal business policy or we can add it to a policy for you at the cost of £110 per year for each device.
When do I start paying the first direct debit?
It’s normally the first of the month following delivery and installation of the Server system. We won’t take any money until you are happy with the installation.
Are prices excluding VAT?
Yes all pricing quoted excluding VAT.
Do I have to pay a lump sum at the end to own the computer?
Our Flexi-Lease includes the option to own for normally £1 after the lease terminates.
What happens at the end of the lease to my Office 365 subscription?
We will contact you 30 days from the end to offer a renewal that would be for a further year.
If I do not renew Office 365 what happens next?
You have 30 days grace from Microsoft before your emails are locked. If you don’t renew then after a further 30 days then Microsoft will delete your account and you will not be.
What happens at the end of the 3 years to my support?
Support terminates when you stop paying but there are options… Apart from taking a new system as an option, you can continue paying for the Support and warranty of your Server and PC’s which also includes the AVAST CloudCare subscription for a further year and service visits. This is paid at 50% of your in-contract cost.
If I take up your Extended Support for the fourth year at 50%, does it include the Office 365 subscription?
No it doesn’t and 365 must be paid annually.
